Here are some things to think about as you begin to plan:

  • Date (weekday or Saturday)? Time?
  • Conflicts with other events?
  • Location?
  • Electrical needs and Internet access provided?
  • Tables?
  • Who provides computers?
  • Will projects be online? Burned to CD as stand-alones?
  • Judging beforehand? During the fair?
  • Will food be served? Where?
  • Is the proposed site secure?
  • Are there places for observers to sit when necessary? During awards?
  • Registration fees? How much? Deadlines for registration?
  • Who are potential donors? PTA? local businesses?
  • What kind of awards? Trophies? Ribbons? Certificates?
  • How are first place winners determined?
  • When will you set up and take down?
  • What grade levels will participate? How will they be divided into levels?
  • Who will conduct the awards ceremony? Where?
  • Will you have a display area (for boards)? Where?
  • How will you ensure that all students have transportation to and from the fair?
  • How will you choose a chairperson and other committee members?
  • How will the committee communicate? Listserv? Email group?
  • Will the judges conduct interviews? What is the time limit for these?
  • Who will create judging rubrics?
  • Who will tally the scores to determine winners?
  • Will you have one overall winner in each category?
  • If you have a literacy challenge, who writes these tests? How will it be conducted?
  • Who will maintain a tech fair web site?
  • Who will your official photographers be to ensure that you have pictures throughout the event?
